Scenario:
The organization recently purchased new desktop scanners which will be utilized by support staff throughout the company at 45 different office locations (approximately 140 employees). The new hardware provides these employees a fast and efficient way to scan and upload loan documents into an electronic format (part of a larger initiative to go paperless). The scanner and related software are fairly intuitive to use, but there are definitely some key points and best practices that staff would benefit from understanding before creating their first paperless loan file. It is your role to develop and deploy the appropriate learning methods and tools for existing and future employees.
1) What is your general approach to organizing this project? What questions will you ask as you begin?
- What is the priority of the project?
- Who was in charge of installing the new equipment?
- Is the person who installed the equipment my go to person for questions regarding the new hardware?
- Can I have access to a new scanner?
- What are the key points and or best practices believed to help benefit employees?
- Is there a file structure in place, and where will the scanned documents be stored?
- Will the files be scanned and stored on personal pc's, on a network drive, or possibly on a server?
- Will this tutorial require video, images, narration, or text?
2) For the purposes of this exercise, assume all technology options are available to you. Based on assumptions you make about this scenario, and based on your prior experience, what learning strategies and tools would you recommend?
- In this case, I believe text along with imagery will be enough to create an easy to follow tutorial.
- Many people can simply follow text based instructions, but others need a visual to go along with the instructions.
- I would most likely create this tutorial in the current LMS NWFCS is using, or I would build a simple webpage like I did for this presentation.
- If I did build a web page, I would build it in Adobe Dreamweaver.
- The images would be edited with Adobe Photoshop, and Illustrator.
- I could use video, but in this case, I don't believe it is necessary.
3) What are the primary benefits of this approach?
- By using text, and imagery, this approach would make the instructions easy to follow along and understand.
- Another benefit of this approach would be time. I can create a simple tutorial fairly quickly in this manner.
4) What challenges do you foresee and how would you plan to overcome them?
- Priorities can always pose a challenge, however, if the priotity of the project is determined at an early stage, challenges can easily be avoided.
- I don't see any technical challenges with this project aside from learning the LMS system if needed and or the scanner software. It seems pretty straight forward.
5) How much development time do you anticipate will be needed from project start to the point when the training tool(s) are ready for use?
- Assuming that I am able to easily obtain information about the scanner, as well as key points to touch on, this would be a fairly quick project.
- I would estimate roughly 8 to 12 hours to complete the final draft.
